Job Description:
Assists Director and Associate Director with establishing course documentation/syllabi and following course approval through the Approval Tracking System.
Coordinates meetings associated with this process.
Assists faculty with room scheduling, course materials, eLearning set-up, exam proctoring, posting grades, etc.
Also assists with creating and coordinating Hamilton Center fellowships.
Provides academic support to faculty who participate in teaching.
Gathers and prepares information needed for course notes, syllabus, slides, presentations, exam soft, etc.
and furnishes course coordinators and students with updates as needed.
Assists faculty with eLearning and/or other teaching mechanisms.
Ensures appropriate instructors are entered into Student Information System (SIS) in MyUFL and GatorEvals.
Coordinates the teaching evaluation process by maintaining a schedule of courses to be evaluated and works with course coordinator to publish GatorEval evaluations in conjunction with course end dates.
Compiles/provides any data related to the overall program, teaching, and final evaluations.
Gathers teaching units from course syllabi and prepares spreadsheet of instructor effort to enter into Academic Activity Report in MyUFL.
Arranges all peer reviews of faculty by coordinating what lectures faculty will attend to complete the necessary reviews and ensures they have proper documentation to record evaluation and tracks completion status for each faculty member.
Manages/updates educational portion of the Hamilton Center website.
This includes course/degree/program information, faculty information, fellowship information, student event information, etc.
Assists Associate Director with coordinating student events, guest speakers, and other academic visitors and volunteers (setting up UFID #s, flight/lodging arrangements, honorarium payments, etc.
).
Escorts speakers, visitors, and faculty candidates as needed.
Departmental office duties as needed: answers phones, meeting and room scheduling, faxing of documents, mail distribution and preparation for events.
Other duties as assigned by supervisor.
Expected Salary: Commensurate with experience.
Minimum Requirements: High school diploma or equivalent and three years of relevant experience.
Preferred Qualifications: Ability to work independently, to listen and follow directions, and meet deadlines; Ability to collect, compile, evaluate, and analyze, data; Ability to plan, organize, coordinate and prioritize multiple work assignments; Ability to accurately enter data and respond in a timely manner to information requests; Ability to communicate effectively verbally and in writing; Ability to maintain confidentiality with sensitive materials and act with discretion; Ability to maintain effective communication with supervisor; Ability to establish and maintain an effective working relationship with faculty and staff, handle telephone calls and emails in a courteous and efficient manner; Knowledge of, and ability to use, standard business formats and styles, correct spelling, punctuation, and grammar with particular attention to ensuring communications are well put together and formatted correctly; basic math calculations and geography, Outstanding computer knowledge and demonstrated skill using Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, Outlook), Adobe Acrobat, and T4; Exceptional organizational and time management skills, high levels of attention to detail, reliability, and professionalism; Experience with Website design and maintenance and drafting event flyers; Experience in an Academic or University setting.
