JOB SUMMARY
This position functions and reports to the George A.
Smathers Libraries at the University of Florida.
Providing professional level accounting services for an annual budget of more than $38 million, including 26 salary accounts, 26 other personal services accounts, 24 departmental budgets, and other special spending budgets.
In addition, this position assists in directing and coordinating the work of three other Business Services Office employees.
This position provides technical expertise and judgement to deliver high-level customer service, to ensure stewardship of library assets and to leverage library resources to the best possible outcome for library stakeholders, and to increase the transparency and general understanding of the source and availability of the Libraries' financial resources and how they are used and managed.
The latter is achieved in large part through a variety of regular financial reports made available on the Business Services website, and this position is central to their delivery.
The Smathers Libraries include over 400 employees in seven branch libraries, an auxiliary and an interim facility, and 11 additional distinct service and administrative units, located in Gainesville, Jacksonville, and Saint Augustine.
The Library Business Services Office mission is to support the operations of the various library units, departments, and programs and to ensure effective interaction with various UF financial offices and officials by providing timely and accurate business information and advice that enhances decision making by those in leadership positions throughout the Smathers Libraries.
RESPONSIBILITIES Budget Management Responsibilities include the maintenance, accountability, and reconciliation of library salary and expense accounts of more than $17 Million against monthly ledgers ensuring expense items post correctly and to the appropriate fund source Reviews and researches discrepancies and identifies appropriate corrective action Audits routine expenses to ensure that charges are being appropriately posted Reviews and approves bi-weekly Final Payroll Listing Assists the Associate Director of Accounting with annual departmental budget development Monitors foundation cash flow of the Libraries and assures that fund balances of various funds are spent effectively Maintains appropriate documentation and records for all account activity and make necessary corrections with journal entries Supports monthly reconciliation of state, foundation, and auxiliary accounts Maintaining budget reports, commitments, and projections Business Services Office Oversight This position provides accounting services for a wide variety of funds for the George A.
Smathers Libraries including state, grant, foundation, auxiliary, residual, and miscellaneous gifts Provides financial management of various funds ensuring appropriate funding source and account codes in accordance with UF, State, and Federal rules Proposes and monitors policies and processes for the Office to meet new or revised laws Assists in developing and implementing processes and applications to enhance the management of the Libraries' fiscal activities Participates in Business Services documentation and training for continuous cross-training of workflows and processes to deliver timely to staff Establishes and maintains productive working relationships within and outside the department Performs Year-End closing procedures to ensure compliance with University budgetary and accounting rules with transition from one fiscal year to the next Monitors workflows to ensure compliance and cross training of staff to ensure the daily operations are not impacted by employee absence Assists in supervising and monitoring work product of other employees in the department Analyzes, recommends, and implements internal operating policies and procedures Approves financial transactions in the absence of the Associate Director of Accounting Financial Reporting Reconciles support unit and all funds budget of $32M to assist with University of Florida Budget Planner entry Reconciles and produces the Libraries Monthly Fund Report $37.
8M in expenses with 45 reported lines to review with Director for Admin Services Forecasts and maintains salary and expense for $18.
6M and 180 transactions tracked for current and future years Prepares and compiles annual library statistics for salary and expenses for AHSCL Report $4.
2M and ARL Stats Report $25.
SM and 44 lines for two major library organizations Manages routine and unique reports, compiling information and gathering data from a variety of fund sources Maintains and updates projected salary savings report for Associate Director, Accounting and Director of Administrative Services Analyzes department financial reports and recommends updates to develop efficient reports for monthly and yearly reporting Prepares and develops various unique reports and documents for presenting data to library deans and department administrators Travel Monitoring and Reporting Monitors and reconciles Libraries Travel Budget and serves as liaison to the Travel Committee Oversees and implement travel financial processes for department Develops and maintains spreadsheets to facilitate department record keeping Approves travel authorizations and expense reports and updates the travel budget spreadsheet to ensure approved expenses are in accordance with committee approved budgeted items Responds to travel audit items Other Participates in special projects and performs other duties as assigned Assists with backup for Finance/Grants Accountant on grant budget reports Attends trainings and workshops to improve skills or enhance knowledge needed for position Assists with library wide trainings regarding Business Services processes and procedures Represents the libraries on working groups, internal and external committees as appointed As a subject matter expert in Excel, produces and/or advises on non-financial analysis and reporting for various library personnel (e.

ClimaQUAL) Expected Salary: $72,000 minimum salary; The Smathers Libraries offer a salary commensurate with experience and credentials.
Minimum Requirements: A bachelor's degree in an appropriate area of specialization and four years of experience.
